Company Description: $20B+ Global New York-based alternative investment management firm

Responsibilities:

-Primary phone coverage including screening calls and directing to appropriate employees at the Firm;
-Heavy calendar management; facilitating contract approvals and signatures by the COO;
-Maintaining database of peer hedge funds including tracking news and strategic updates;
-Compiling meeting prep notes;
-Maintaining contact lists and meeting history in CRM system;
-Providing business and personal travel support (including researching accommodations, itinerary prep, coordination with technology department, etc.);
-Preparation and processing of expense reports;
-Providing internet/ news research; maintaining and updating annual calendars and process lists such as birthdays, anniversaries, medical appointments, vacation dates, children’s school calendars and activities, etc.;
-Booking property maintenance appointments and handling bill pay;
-Miscellaneous personal projects and errands.

Requirements: 
– Bachelor’s degree required
– 3+ year of experience as an administrative assistant in a team setting
– Experience working as an EA in a fast-paced and/or finance environment preferred
– Highly organized with strong attention to detail and exceptional foresight with the ability to anticipate the team’s needs
-Client service driven with a high level of energy and enthusiasm; pitch in wherever needed
– Excellent interpersonal skills with strong written and verbal communication abilities
– Strong teamwork skills with ability to multi-task, prioritize duties and switch gears
– Professional demeanor and ability to maintain composure in a high-volume environment
-Ability to solve problems with poise, follows through on assignments and know when to escalate
– Excellent MS Office skills (Word, Excel, Outlook)
– Strong time management skills
